The LVCA manages the Lynwood Community Building for the City of Ottawa. For more info or to book the building you can email lvcarental@gmail.com.

Rent is normally $20/hr but it can be less or even free if approved by the LVCA board and the City of Ottawa. Liability insurance is optional for low-risk activities (see info below).

HOW DO I BOOK THE BUILDING?

The rental cost is normally $20/hour (or a flat rate) + possibly a cost for insurance.

Setup and cleanup time is supposed to be included in the time you book but if no one else has the building booked before or after we don’t need to be too strict about that.

Please clean up afterwards to leave the facility as you found it, with the chairs and the tables stored in the same place and the floor clean (mopped if necessary).

Please take away event garbage and recyclables (NOT deposited in the park’s garage cans) and make sure the door and windows are locked and the lights out.

Provide the following info for the City Of Ottawa contract, if not provided already: 

1) Person in charge of booking: name, address with postal code and phone number

2) Date and times for the event

3) Type of event (for example: kid’s birthday party, staff lunch, baby shower, etc.) 

4) Rough estimate of total number of people at the event 

5) Let us know if you want extra liability insurance (optional for low-risk events)

7) Tell us if you know that alcohol will be onsite. This will affect the fee you could be charged for the City of Ottawa’s optional liability insurance. You will also need to get a Special Occasion Permit (SOP) from the LCBO ($50?) and provide a virtual or paper copy of this Acknowledgement Statement from the City of Ottawa website https://ottawa.ca/en/city-hall/city-manager-administration-and-policies/policies-and-administrative-structure/administrative-policies/alcohol-policy

One example of how you can book the building:

– The paper contract (example below) will be left in a private mailbox near Lynwood Park. 

– You pick it up, finish filling it out and return it to the mailbox with a cheque/cash (or pay online) if payment is required.

– The key to the building is left in a private mailbox on the day of the event and you return it there after the event.

EQUIPMENT/ DECORATION

You will have access to the main floor, kitchen, and washrooms. Tables (10) and chairs (38) are available for use (but please be careful with them so the floor doesn’t get scratched or damaged). There is a regular-size fridge, etc. in the kitchen. 

Decorations are allowed, however, it cannot damage the facility or leave any marks. 

The building is used by the community and various community groups. Please leave or return any items that you have removed while decorating. 

There is a tv and you are welcome to use it if you have something to connect it to. There is no cable and no internet on site. 

There could be a small kids play structure in the corner of the room. It must be left intact and cannot be taken apart. 

CLEANUP

The building is a City of Ottawa property but is managed by a team of volunteer board members from the Lynwood Village Community Association. To ensure the cost to rent is accessible to the community, renters are required to do their part in cleaning. 1) Any surfaces and equipment used must be wiped down. 2) Take your boots off at the front door. Floor must be swept (and mopped if necessary). All cleaning supplies can be found inside a washroom stall. 3) All garbage, recycling, organics etc. must be removed from the site and taken home. There is no garbage pickup at this location. Please do not dispose of garbage in the park bins. 4) All lights must be turned off upon exit. 5) All windows and doors must be secured shut and locked. The rooms and building must be returned to the way it was before use.

KEY & ACCESS

YOU ARE RESPONSIBLE FOR THE KEY and control who may enter your rental space during your rental time. The building is located in a public park and there have been times where park users enter the rental space thinking it is open to the public. 

When you pick up your paper contract from the mailbox please complete all spots marked with an X. The white and pink copies are for the LVCA and the City; the yellow copy is yours.

Payment can be made online with a credit or debit card https://www.lynwoodvillageottawa.ca/p/payment.html (invoice description = the date of the event) or by cheque to the Lynwood Village Community Association/cash.

FACILITY INCLUDES

• 10 folding rectangular tables, 30 x 72 inches (0.75m x 1.83m)
• 38 chairs,
• Full kitchen with fridge, stove, sink, and microwave. You are required to remove all food and garbage after your event,
• No cutlery, plates or other cooking supplies are on site, if required please bring your own,
• Cleaning supplies and tools (under sink and in men’s washroom),
• Wheelchair/walker ramp and automatic doors,
• Bathrooms,
• Air conditioning.
